Privacy Policy

Aged Care Workforce Solutions Pty Ltd handles personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy also serves as our collection notice under APP 5.

What we collect

Candidates: identity and contact details, passport details, qualifications, work history, English test results, registration progress, and the documents you upload - which may include sensitive information (for example health information or police checks). We collect sensitive information only with your consent and only where reasonably necessary for credential verification and, where you separately engage a legal practitioner, visa eligibility assessment. Facilities: organisation, contact and sponsorship-approval details.

Why we collect it

To assess visa eligibility (with review by an Australian legal practitioner), to introduce eligible candidates to verified aged-care providers, to verify facility sponsorship approvals, to administer accounts and invoices, and to meet our legal obligations.

Who we disclose it to

Candidate profile summaries, resumes and (if provided) photos and video introductions are shown to verified facilities only after a practitioner-approved assessment. Identity documents (passports, test reports, certificates) are never shown to facilities. Contact details are shared with a facility only after you accept its interview request. Information is disclosed to the reviewing legal practitioner, and to service providers that host our infrastructure or send our emails. We do not sell personal information.

Overseas collection

Candidates are typically located overseas (for example Sri Lanka) when they provide information to us. Our records are held in Australia; where a service provider processes data overseas we take reasonable steps to ensure equivalent protection.

Storage and security

Information is stored on access-controlled systems; passwords are hashed; uploads are validated and access to documents is restricted by role. We retain information for as long as needed for the purposes above and any legal retention obligations, then delete or de-identify it.

Access, correction and complaints

You may request access to or correction of your personal information, or make a privacy complaint, by contacting us. If unresolved, you may complain to the Office of the Australian Information Commissioner (oaic.gov.au).

Data breaches

We maintain a data-breach response process consistent with the Notifiable Data Breaches scheme and will notify affected individuals and the OAIC where required.
